SALARY: £32,000 to £36,000 per annum FTE + Benefits

LOCATION: Hybrid / Newcastle upon Tyne, North East England

JOB TYPE: Full-Time, Permanent

WORKING HOURS: 37.5 hours per week across five days, with office-based working on Tuesday, Wednesday and Thursday

 

THE OPPORTUNITY

An excellent opportunity is available to combine people leadership with hands-on administration in an employee-owned organisation. The Administration Manager / Business Support Manager will lead a small team while handling complex and bespoke contract support.

The Administration Manager / Business Support Manager will coordinate scheduling, customer and learner administration, reporting and board support, working closely with the Operations Director, Business Managers and Contract Managers.

With scope to improve processes, service standards and information flow, the Administration Manager / Business Support Manager can make a visible contribution and continue developing professionally.

WHAT YOU WILL BE DOING

Your duties as the Administration Manager / Business Support Manager include:

  • Team Leadership: Lead, motivate and manage a small team of administrators, set clear priorities and maintain a supportive, collaborative working environment
  • Contract Administration: Manage more complex and bespoke contracts, creating clear plans, schedules, tasks and deadlines, and lead Client Support Advisers to support delivery against contractual key performance indicators
  • Client and Learner Administration: Ensure joining instructions, attendance information, materials, records, follow-up communications and pre- and post-delivery evaluations are completed accurately in line with the relevant Contract File
  • Scheduling and Reporting: Own and manage the Scheduling Database, maintain clear controls and accurate current information, and collate activity and performance reports
  • Management and Board Support: Organise management meetings, Corporate Updates and Show and Tell events, coordinating agendas, papers, presentations, notes and action logs, and support corporate and board meetings
  • Quality and Accessibility: Support design teams in maintaining the accessibility and quality of materials
  • Process and Service Improvement: Establish consistent administrative processes and service standards, monitor quality and timeliness, and identify practical improvements to systems and information flow
  • Business Team Support: Help develop customer service and learner service administration for the Business Team, Business Managers and Contract Managers

 

WHAT YOU WILL BRING

ESSENTIAL

  • Previous experience in senior administration, operations support, contract support or a comparable coordination role
  • Experience leading, supervising or line-managing a small team and allocating work across competing priorities
  • Ability to anticipate problems, make sound judgements, take ownership and escalate appropriately
  • Strong planning and organisational skills, with the ability to manage multiple contracts, schedules, meetings and deadlines
  • High level of accuracy in database management, document control and scheduling
  • Confidence using Microsoft 365, shared document environments, databases and web-based systems
  • Excellent written and verbal communication skills and confidence working with colleagues, clients and senior managers
  • Collaborative, customer-focused approach with the ability to remain calm and organised under pressure

DESIRABLE

  • Experience administering learning and development programmes, training contracts or professional services, using procurement portals or scheduling databases, or acting as a meeting secretariat
