Logistics Administrator

This is a varied opportunity to support international shipment tracking, customs and duty administration, reporting and operational problem-solving within a busy logistics environment. You’ll work across internal teams and external carrier networks, helping maintain accurate information, smooth operational flow and a strong customer experience.

SALARY: £28,000 - £35,000 per annum (depending on experience) + Benefits

LOCATION: Hybrid Working. Minimum 2 – 3 Days per Week from the Office in Hounslow, West London

JOB TYPE: Full-Time, Permanent

WORKING HOURS: Monday to Friday, 37.5 hours per week

 

JOB OVERVIEW

This is an excellent opportunity for a Logistics Administrator to take on a varied role combining shipment tracking, data administration, customs and duty processes, reporting and issue resolution within an international operation.

The Logistics Administrator will carry out daily quality and compliance checks, investigate missing or delayed tracking information, maintain accurate records and help ensure customs and duty data is complete and submitted within required timescales.

Working closely with Customer Service, Transport, Operations and IT teams, as well as external carriers and network partners, the Logistics Administrator will resolve discrepancies, identify recurring issues and support practical process improvements that reduce manual administration and improve customer experience. The role is based in Heathrow and includes travel around London and surrounding areas.

DUTIES

Your duties as the Logistics Administrator include:

  • Shipment Tracking Investigations: Act as a central point of contact for tracking queries, investigate missing or delayed information and liaise with carriers and network partners to obtain updates and resolve issues
  • Tracking Performance Monitoring: Monitor carrier and international delivery partner performance, maintain investigation records and escalate recurring issues or trends to relevant teams
  • Quality and Compliance Checks: Carry out daily tracking and customs data checks in line with current audit requirements, record results accurately and support investigations and corrective actions
  • Customs and Duty Administration: Complete and validate duty and customs transactions across multiple systems, including duty manifests, customs declarations and associated transactions
  • Data Accuracy and Submission: Track and reconcile customs and duty information, ensuring records are accurate, complete and submitted within required timescales
  • Customs Compliance Support: Support customs and HMRC requirements, assist with internal audits and help maintain procedures and Standard Operating Procedures
  • Systems and Issue Resolution: Troubleshoot system errors, manage manual interventions where required and work with internal teams to resolve discrepancies and operational issues
  • Reporting and Inbox Management: Manage the departmental inbox and monitor daily and weekly reports to help keep operational flows running smoothly
  • Process Improvement: Identify recurring issues and support improvements that reduce manual workload across Customer Service and Operations
  • Operational Support: Provide additional administrative support during busy periods and peak operations to help maintain stability and flow

 

CANDIDATE REQUIREMENTS

  • Strong administration skills with excellent attention to detail
  • Experience working with data and reporting, with good Excel skills
  • The ability to identify discrepancies, investigate issues and follow them through to resolution
  • Strong organisational skills and the ability to prioritise a varied workload
  • Good written and verbal communication skills
  • Confidence communicating with internal teams and external partners
  • A methodical approach to checking and recording information
  • The ability to work independently while contributing effectively as part of a team
  • Good problem-solving skills and a willingness to investigate issues rather than simply pass them on
  • Experience within logistics, transport, customs or an international environment would be advantageous
  • Knowledge or understanding of duty and customs terminology and processes would be highly advantageous
