Role Purpose
The Mechanical HVAC Reactive Supervisor is responsible for supervising all reactive mechanical and HVAC maintenance activities across London Underground assets during day shifts. The role ensures safe, compliant, and efficient fault response, delivery against contractual SLAs and KPIs, and effective coordination with the Mechanical Coordinator to maintain operational continuity across the network.
Key Responsibilities
Reactive Maintenance & Technical Delivery
- Supervise and deliver reactive maintenance and fault response for mechanical and HVAC systems, including:
- AHUs, FCUs, VRF/VRV and split systems
- Chillers, pumps, motors, valves, dampers
- Station and tunnel ventilation systems
- Associated pipework and control interfaces
- Ensure rapid attendance, diagnosis, and rectification of faults in accordance with London Underground operational requirements.
- Provide hands-on technical support where required to resolve complex faults.
SLA, KPI & Performance Management
- Manage reactive works in line with contractual Service Level Agreements (SLAs), including response and rectification times.
- Monitor and drive performance against key KPIs, such as:
- Response and attendance times
- Asset uptime and availability
- Quality and compliance of completed works
- Escalate potential SLA risks or failures promptly to management and the Mechanical Coordinator.
- Support continuous improvement initiatives to enhance reactive performance and service delivery.
Supervision & Team Leadership
- Supervise mechanical engineers, technicians, and subcontractors working on London Underground assets.
- Allocate daily tasks and prioritise reactive jobs in a live operational environment.
- Conduct toolbox talks, safety briefings, and site inductions.
- Ensure workforce competence, correct tooling, and adherence to method statements.
Safety, Compliance & Assurance
- Ensure all activities comply with:
- London Underground and TfL safety standards
- Company policies and Safe Systems of Work
- Relevant legislation (HASAWA, COSHH, PUWER, LOLER, F-Gas, etc.)
- Review, brief, and implement RAMS.
- Operate and enforce Permit to Work and isolation procedures as required.
- Promote a strong safety-first culture across all reactive works.
Ordering, Materials & Coordination
- Raise and manage ordering of materials, spare parts, and specialist services required for reactive repairs.
- Ensure correct parts are identified to minimise repeat failures and downtime.
- Control material usage in line with contract and budgetary requirements.
- Liaise closely with the Mechanical Coordinator to:
- Agree priorities for reactive jobs
- Coordinate labour, materials, and access
- Provide updates on job status, delays, and technical issues
- Support planning of follow-on works arising from reactive faults.
Systems, Reporting & Administration
- Ensure all works are accurately recorded in the CMMS, including:
- Provide daily activity reports, handovers, and performance updates.
- Support audits, inspections, and client reviews.
Stakeholder Liaison
- Act as an operational interface with:
- London Underground station and operations staff
- Control rooms and access teams
- Mechanical Coordinator and senior management
- Communicate clearly and professionally in high-pressure operational situations.
Qualifications & Experience
Essential
- NVQ Level 3 / City & Guilds or equivalent in Mechanical or HVAC discipline
- Proven experience supervising reactive HVAC/mechanical maintenance
- Experience working in safety-critical or infrastructure environments
- Strong knowledge of HVAC plant and building services systems
- IOSH Managing Safely or equivalent
Desirable
- Previous London Underground or TfL experience
- Experience managing SLA/KPI-driven contracts
